Privacy Policy

Last updated: 30 October 2026

This policy explains what personal data Virtual Name Cards collects, why, who receives it and the rights you have under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

Who we are

The controller is LETS CONNECT CARD LTD, a private limited company registered in England and Wales (company number 15432328). Virtual Name Cards (virtualbusiness-cards.com) is operated by LETS CONNECT CARD LTD. Address: LETS CONNECT CARD LTD (Company No. 15432328), 107 Sunbeam Street, Wolverhampton, England, WV2 4PG. Email: privacy@virtualbusiness-cards.com. Telephone: +44 7300 230524.

Data we collect

  • When you buy: your first and last name, email address, telephone number if you give it, the plan you choose, the price, currency, store country and any discount code. Payments are taken by Stripe, or by Razorpay for Indian rupee payments. We do not receive your full card number.
  • Unfinished checkouts: basket contents linked to a random session identifier, plus your account email if you are signed in, so we can see where checkouts stop and remind you about an unfinished order.
  • Your account: if you create an account to view orders and invoices, your email address, a securely stored password and your order history.
  • Your digital profile: after payment, your name, email address and plan are passed to our profile platform, Let’s Connect Digital, which creates your profile. Anything you publish on it — for example your name, job title, photo, telephone number, email address and links — can be seen by anyone who opens your profile link or scans your QR code.
  • Lead capture on your profile: if you switch on contact capture, enquiry, booking or subscriber forms, details that visitors submit are stored in your dashboard for you. You decide how to use them and are responsible for doing so lawfully; we process them on your behalf.
  • Contact form: your name, email address, telephone number and company if you give them, the reason for contacting us and your message.
  • Referral links: if you arrive through a partner’s referral link, the referral code is kept in your browser for 90 days, and we record the click with a one-way scrambled (hashed) version of your IP address and your country to prevent fraud.
  • Emails from us: order confirmations and service messages. If you agree to marketing emails, we send them until you unsubscribe using the link in each email.

Cookies, browser storage and third-party content

  • We do not currently load analytics or advertising cookies. The cookie banner records your choice so that none are added without your consent.
  • Your browser’s local storage keeps your basket, your cookie choice, whether you closed the store-suggestion banner, any referral code and your sign-in session. These are needed for the site to work.
  • We suggest a regional store using your device’s time-zone setting, not your IP address.
  • Our fonts are stored on our own website, so loading a page does not contact Google Fonts or any other font service.
  • The WhatsApp button only contacts WhatsApp if you select it.
  • On the order confirmation page, a Google Customer Reviews script may load and share your order number, email address and country with Google so it can ask whether you would like to take a short survey. You can decline.

Why we use your data and our lawful bases

  • Contract: to take your order, create and host your profile, send order and service emails, and provide support.
  • Legitimate interests: to prevent fraud and misuse, attribute referrals to partners, understand where checkouts stop and remind signed-in customers about unfinished orders, and keep the service secure.
  • Consent: marketing emails and optional surveys. You can withdraw consent at any time.
  • Legal obligation: to keep tax and accounting records.

Who receives your data

We share only what each provider needs to do its job. We do not sell your personal data.

  • Stripe and Razorpay — payment processing.
  • Lovable — website hosting, cloud database, server functions and some email sending.
  • Resend — email delivery, including contact form messages and order emails.
  • Let’s Connect Digital — the profile platform that creates and hosts your digital name card.
  • LetsConnectCrew — the order-management portal we use to process and support paid orders. When your payment succeeds it receives your order number, plan, price, currency, store country, any discount code, your name, email address, telephone number if you gave it, and your billing address if we hold one. No card details are sent.
  • Google — the Customer Reviews survey invitation, if it loads on the order confirmation page.

International transfers

Some of these providers process data outside the UK, including in the United States. Where that happens, we rely on the safeguards UK GDPR allows, such as UK adequacy regulations or standard contractual clauses with the UK addendum.

How long we keep data

We keep your data for as long as your account or profile is active and afterwards for as long as the law requires, for example to keep tax records. Marketing consent is kept until you withdraw it.

Your early-access consent record (the wording you agreed to, its version, the time and your order reference) is kept with your order record for as long as the order record is kept.

Your rights

Under UK GDPR you can ask to access, correct or delete your data, restrict or object to how we use it, receive it in a portable format and withdraw consent. Email privacy@virtualbusiness-cards.com to make a request. We reply within one month.

Complaints

Please contact us first so we can help. You also have the right to complain to the Information Commissioner’s Office (ICO), the UK data protection regulator: ico.org.uk, telephone 0303 123 1113.

Our services are for professionals and are not intended for children.
