Apple Mail is built into every Mac, iPhone and iPad. If you use it for work, your signature travels with every email you send from those devices. This guide shows how to add your virtual name card link on each one, how to avoid the formatting pitfall that catches many Mac users, and what to expect from sync.

For the wider picture, see our pillar guide to email signatures, Teams and Zoom.

Key points

  • On a Mac, Mail supports linked text and images in signatures.
  • On iPhone and iPad, the Mail signature is text only, so paste your full profile link.
  • The "Always match my default message font" option changes how your Mac signature looks.
  • Signatures may not sync between your Mac and your iPhone. Set each device up.
  • You can also share your profile link with AirDrop and Messages.

Mail on Mac

  1. Open Mail.
  2. From the menu bar, choose Mail, then Settings (called Preferences on older versions of macOS).
  3. Select Signatures.
  4. In the left column, select the email account you want.
  5. Select the + button below the middle column to add a signature, and give it a name.
  6. In the right-hand box, type your name, job title, company and one line about what you do.
  7. Type a call to action such as "Save my contact details". Highlight it, then choose Edit, Add Link from the menu bar, and paste your profile link.
  8. To add a QR image, drag the image file into the signature box.
  9. Use the Choose Signature menu at the bottom to pick the default for that account.
  10. Close the window. Mail saves your changes.

The "Always match my default message font" pitfall

Below the signature box is an option called Always match my default message font. When it is ticked, Mail displays your signature in your default message font instead of the formatting you chose. People often add formatting, see it vanish in new emails and assume the signature is broken.

If you want your signature to keep its own fonts and styles, untick the option. If you prefer a plain signature that matches the rest of your email, leave it ticked. Either is fine. Just know which you chose.

A similar option, Place signature above quoted text, controls where the signature appears in replies. Tick it if you want your details right under your reply.

iPhone and iPad

Mail on iPhone and iPad has its own signature setting, separate from your Mac.

  1. Open the Settings app.
  2. Select Apps, then Mail. On older versions of iOS and iPadOS, Mail appears directly in Settings.
  3. Scroll down and select Signature.
  4. Choose All Accounts or Per Account, where offered.
  5. Delete the default "Sent from my iPhone" line if you do not want it.
  6. Type a short line, such as your name and role, followed by your full profile link.

The iPhone and iPad signature is text. You can apply simple styles to text, but you cannot add images or hide the link behind a label. Paste the whole link. Most email apps turn a full web address into a clickable link when the message arrives.

iCloud and sync: what to expect

It is natural to expect a signature set on your Mac to appear on your iPhone. In practice, it usually does not. Mail signatures on iPhone and iPad are set on each device. Signatures on Mac may sync between Macs signed in to the same Apple Account, depending on your settings and macOS version, but they do not carry across to iPhone.

The safe approach:

  • set the signature on your Mac;
  • set the text signature on your iPhone;
  • set it again on your iPad;
  • send a test email from each device.

Use the same profile link everywhere, so the details people see are identical whichever device you sent from.

Sharing your profile from iPhone in other ways

Email is not the only way to share your profile from an iPhone.

  • AirDrop the link. Open your profile in Safari, select the Share button and choose AirDrop. Nearby Apple devices can receive it if their owner allows it. It is handy at the occasional in-person meeting.
  • Messages. Paste your profile link into a message. Messages usually shows a preview with your name and photo. Check that the preview looks right.
  • Show the QR code. Open your QR code on screen and let the other person scan it with their camera.
  • Save a text shortcut. In the keyboard settings, create a short phrase that expands into your profile link, so you can type it anywhere.

Common Apple Mail signature mistakes

  • Leaving "Sent from my iPhone". It tells the reader nothing useful. Replace it with your name and profile link.
  • A different link on each device. If your Mac and iPhone signatures were set at different times, they may point to different places. Use one profile link.
  • Pasting a formatted signature from a web page. Hidden formatting can carry across. Type the signature, or paste as plain text, then add the link.
  • A large image. Big images make emails heavy and are more likely to be blocked or shown as attachments. Keep any QR image small.
  • No signature on one account. Each account on a Mac can have its own default, including none. Check every account you send from.
  • Forgetting the iPad. It keeps its own setting, even if you rarely send email from it.

Testing

Before you rely on your new signature:

  • [ ] Send a new email and a reply from your Mac and check the signature appears in both.
  • [ ] Send from your iPhone and check the plain-text link arrives as a clickable link.
  • [ ] Open the email in Gmail and Outlook, to see how other clients display it.
  • [ ] Check a QR image is not shown as an attachment, and has a white background for dark mode.
  • [ ] Open your profile from the link and use the save-contact button.

Choosing a profile for email

If you share mostly by email, a link-first profile suits Apple Mail well. Our Virtual Name Card Link gives you one permanent address for signatures, calendar invites, proposals and LinkedIn. It is paid once, and set-up is not instant: after payment, your order is recorded for profile set-up.
