Virtual Business Cards for Hybrid and Remote Teams

In a hybrid team, people meet clients from the office, from home and from wherever they happen to be. Each person tends to build their own email signature and video background. The result looks like several different companies. Virtual business cards can fix that, if you roll them out with a plan. This guide gives you the checklists.
Key points
- Give each person their own profile, built on the same template and colours.
- Standardise the signature block and the video background, with each person's own link and QR code.
- Agree privacy rules before anyone publishes: personal numbers, password protection, which sections show.
- Decide in advance what happens to a profile when someone leaves.
- We do not sell a team admin plan. Order one profile per person through our contact page.
The consistency problem
Hybrid work spreads small differences across a team:
- Signatures differ. One person has a logo, another has a quote, a third has nothing at all.
- Backgrounds differ. Some people use a branded background, some blur their kitchen, some use a beach.
- Details go stale. Job titles and phone numbers change, but old signatures live on in every thread.
- Clients get confused. A buyer who meets three people from your company sees three different presentations.
A shared approach to virtual business cards gives everyone the same look, with each person's own details. When someone changes role, they update one profile, and every link they have shared shows the new title.
A rollout checklist for a hybrid team
Work through these steps in order. Most teams can finish them within a few weeks.
1. One profile per person
Each person needs their own profile, because each has their own name, number and email. Decide which plan each person needs. Client-facing sellers may need Business Add-ons for bookings and contact leads. Others may only need Brand Presence. Our guide for remote sales teams explains what sellers usually need.
2. The same template and colours
Choose one template from your dashboard and agree your colours. Agree the order of sections with Visibility & Order, so every profile reads the same way. Write a short guide: which photo style, how to write the one-line description, which links to include.
3. The signature block
Write one signature template for the whole team: name, job title, company, one line, and the profile link as text. Keep it short. Our email signature, Teams and Zoom guide has the setup steps for Gmail, Outlook and Apple Mail. If your company manages signatures centrally, add a profile link field to the central template.
4. The background QR
Design one video background for the team, with space for each person's own QR code and short link in an upper corner. Our guide to QR codes in Zoom and Teams backgrounds covers size, placement and testing. If your organisation controls Teams backgrounds, ask IT to add the approved designs. Our guide to using a virtual business card in Microsoft Teams also covers status notes, invites and chats with external guests.
5. The onboarding step
Add the profile to your onboarding list for new starters: request the profile, set up the signature, add the background, test the QR code. Make it part of the first week, not an afterthought.
Who does what, and when
| Rollout task | Owner | When |
|---|---|---|
| Choose plans and order one profile per person | Team lead or office manager | Week 1 |
| Choose the template, colours and section order | Marketing or brand owner | Week 1 |
| Agree the privacy rules | Team lead with whoever handles data protection | Week 1 |
| Write the signature template | Marketing, with IT if signatures are managed centrally | Week 2 |
| Design the shared video background | Marketing or design | Week 2 |
| Fill in each profile | Each person | When their profile is ready |
| Add signature and background | Each person, with IT support | Same day as their profile |
| Test the link, QR code and save-contact button | Each person, checked by the team lead | Same day |
| Add the steps to onboarding | People team or office manager | Week 3 |
| Review profiles for out-of-date details | Team lead | Every quarter |
People who work from both places
Hybrid staff switch between the office and home, sometimes in the same day. Make the setup work in both.
- Use the same background everywhere. If the office uses meeting room cameras, check how the background and QR code look there too.
- Set up the signature on every device. Office desktop, laptop at home and phone often keep separate signature settings.
- Keep the link in a text shortcut on each device, so people can paste it into any chat quickly.
- Show the QR code on a phone screen for the occasional in-person meeting. It opens the same profile as the background code.
- Agree a fallback for meeting rooms where custom backgrounds are not possible: paste the link in the meeting chat and show it on the last slide.
The aim is that a client sees the same details whether they meet someone at the office, on a call from home or by email.
A privacy checklist
A profile is public to anyone with the link. Agree these rules before anyone publishes.
- [ ] Personal mobile numbers. Decide whether people show a personal number, a work number or no number. Nobody should feel pressured to publish a personal number.
- [ ] Password protection. Use Password Protection for material that should only reach certain people, such as internal price lists.
- [ ] Visibility & Order. Agree which sections are public. Hide sections that are not ready, rather than leaving them half-finished.
- [ ] Contact Display. Agree which contact details appear on each profile.
- [ ] Lead forms and lawful basis. If profiles collect visitors' details through contact leads, enquiries or forms (Business Add-ons), your organisation needs a lawful basis under the GDPR or UK GDPR, such as consent or legitimate interests, and a privacy notice explaining it. Ask whoever handles data protection in your organisation.
- [ ] Your local law. Check the rules where you operate:
Published details are covered by the GDPR (AVG); the regulator is the Autoriteit Persoonsgegevens.
This checklist is general information, not legal advice. Our privacy policy explains how we handle data as the provider.
When someone leaves
Decide this before anyone needs it. The link stays the company's decision, not the leaver's.
When someone leaves, you can:
- Edit the profile to show a general contact, such as a team email, so clients still reach someone.
- Hide sections with Visibility & Order, for example their personal phone number.
- Switch the profile off, if you would rather it stopped showing. Contact us if you need help with this for a profile you ordered.
Whatever you choose, update the shared signature template and remove their background from the approved list. Write the steps into your leavers checklist, next to returning equipment and closing accounts.
Ordering for several people
We do not sell a separate team plan or a team admin account. Each person gets their own profile. To order for several people:
- Count how many profiles you need on each plan.
- Contact us with the numbers.
- Share your template and colour choices with the team, so profiles are filled in consistently.
Set-up is not instant: after payment, each order is recorded for profile set-up. Plan your rollout dates with that in mind.
You can see the plans on our virtual business card for email signatures, video calls and chat. Both plans are paid once, with no subscription.
Writing the team guide
A one-page guide saves endless questions. Keep it short and practical. It should cover:
- Photo style. For example: head and shoulders, plain background, recent.
- The one-line description. A simple formula, such as "I help [type of client] with [problem]".
- Which links to include. Usually company website, LinkedIn and, for client-facing staff, a booking link.
- Which sections to show, and in what order.
- The signature template, ready to copy.
- The background file, and how to add your own QR code to it.
- The privacy rules your team agreed.
- Who to ask when something does not work.
Share the guide in the place your team already looks, such as your intranet or the onboarding pack.
Common rollout problems and how to fix them
- People do not finish their profiles. Set a date, and check profiles in a team meeting. A half-finished profile is worse than none.
- The QR code does not scan on calls. It is usually too small or too low in the frame. Make it bigger and move it up.
- Signatures keep getting overwritten. Your company probably manages signatures centrally. Ask IT to add the profile link to the central template.
- Custom backgrounds are blocked. Ask IT whether the team design can be added to the approved list.
- Profiles drift apart over time. Someone changes their colours or section order. The quarterly review catches this.
- New starters are missed. Add the profile to the onboarding checklist, with a named owner.
Measuring the rollout
Keep measures simple. Count how many people have a finished profile, a signature with the link and the team background. Use analytics on individual profiles to see whether people open them after calls and emails. If one person's profile gets far fewer visits than the others, check that their link is in their signature and that their code scans.
Keeping it consistent over time
A rollout is not a one-off. Keep it tidy with a few habits:
- review every profile once a quarter for stale titles, numbers and links;
- update the template when your branding changes, and ask everyone to apply it;
- check new starters have a profile, signature and background in their first week;
- keep one person responsible for the signature template and backgrounds.
Frequently Asked Questions
How do we give a whole team virtual business cards?
Each person needs their own profile. Contact us to order one profile per person, then use the same template, colours, signature block and background design for everyone.
Is there a team admin plan?
No. We do not sell a team plan or team admin account. Each profile is ordered and edited separately.
Can every profile look the same?
Yes. Choose the same template and colours for each profile, and agree the order of sections with Visibility & Order.
Should staff publish their personal mobile numbers?
Only if they want to. Agree a rule first. A work number or a team contact is often a better choice.
What happens to a profile when someone leaves?
That is the company's decision. You can edit it to show a team contact, hide sections, or contact us about switching it off.
Do we need a lawful basis to collect visitors' details?
If profiles collect visitors' details through forms or contact leads, your organisation needs a lawful basis under data protection law. Take advice from whoever handles data protection for you.
How long does set-up take?
Set-up is not instant. After payment, each order is recorded for profile set-up, so plan your rollout dates with time to spare.
